Procedures for Use of the Java Rock Room by Organizations and Groups

The Java Rock is ideal for hosting your own party, special event, or memorable occaision. The room can easily accomodate up to 100 people and would make an ideal location for your next event.

During normal operating hours, Java Rock will be open to the general public. Small groups (15 or less) wishing to use a portion of the room for a special group activity during normal operating hours may do so, subject to the terms outlined below. After hours, the entire room can be reserved based on room and support staffing availability, and subject to fees established by the home Church. Individuals wishing to reserve the room for exclusive, after hours use may contact the Program Manager or home church staff for inquiries or to make appropriate arrangements.

 

The conditions for any group use of Java Rock are as follows:

* A charge will be applied for any exclusive use of the room in order to ensure the room is cleaned afterwards, furniture is restored to its original location, and for support of the Java Rock ministry. In the event that there are not enough people expected at the event for the Coffee Buzz vender, at his discretion, to not remain open, then security for the coffee bar area will also need to be provided. All checks are payable to "Manassas Baptist Church."

 

* No charge will be applied for small (less than 15 people) groups that wish to use a portion of the room during normal operating hours.

 

* Use of the room for commercial business is generally not allowed during normal operating hours, unless otherwise approved by church staff or the Program Manager.

 

* Groups are responsible for picking up and discarding their own trash as well as returning furniture (moved for the meeting) to its original place.

 

* Groups using the facilities, during normal operating hours, must be respectful of others using the facilities as well. Staff and/or management reserves the right to address the group regarding their behavior as appropriate to ensure other patron's satisfaction.

 

* Only one group can host an event in the room at any one time outside of normal operating hours. Conflicts regarding use of the room at any given time will be resolved on a first-come-first-serve basis or as otherwise determined by the Program Manager.

 

* All group use - whether for a portion of the room or for the entire room - should be scheduled in advance with the church staff or Program Manager.

 

* The Program Manager and/or church staff will have the discretion to deny use of the room for certain purposes.


Groups requiring special support facilities, such as audio-visual equipment, special lighting or sound services, should make arrangements with staff or the Program Manager at least 10 days prior to the event to ensure availability of appropriate resources. Catering of special events may be considered on a case-by-case basis and must be prior arranged well in advance with the prior approval of the staff or Program Manager. Groups authorized to cater their own events are encouraged to support and be respectful of the services provided by the Coffee Buzz and incorporate those services, to the extent practicable, into their catering plans.
